CGN attaches great value to the protection of your personal data. We want to give clear and transparent information in this privacy statement about how we handle personal data. We do our utmost to safeguard your privacy and we therefore handle personal data carefully. This implies, in any case, that we process your personal data in accordance with the purpose for which it was provided. These purposes and the type of personal data are described in the follow-up to this document; limiting the processing of your personal data to only that data which is at least required for the purposes for which it is processed; requesting your express permission if we need this for the processing of your personal data; taking appropriate technical and organisational measures to safeguard the security of your personal data; not passing on any personal data to other parties, unless this is required in connection with the purposes for which it was provided; being aware of your rights regarding your personal data, wanting to point this out to you and respecting this.

Processing of personal data of contact persons from participating associations and units
Personal data of contact persons of participating associations and units will be processed by CGN for the following purpose(s): - Administrative purposes; - Communication about the contests and all associated activities; - Access to tools or resources for the smooth running of the contests, such as (but not exclusively) the CGN Intranet and Competition Suite; - Carrying out or issuing an assignment.
Basis for this personal data is: Registration for participation in the CGN Season.
CGN may request the following personal data for the above purpose(s): - First name; - Prefix; - Surname; - Email address; - Telephone number;
Your personal data will be stored by CGN for the above purpose.
Processing for this period: During the term of this agreement, mostly from the time of registration for a season to the start of the following season and thereafter only in the financial administration for a maximum of 7 years.
Processing of personal data of association members (members of participating units)
Personal data of association members will be processed by CGN for the following purpose(s): - Administrative purposes; - Implementing the provisions in the Handbook, especially those relating to ages in specific classes.
Basis for this personal data is: Registration for participation in a particular unit in a specific class.
CGN may request the following personal data for the above purpose(s): - Name; - Date of birth.
Your personal data will be stored by CGN for the above purpose.
Processing for the period: From the time of registration for a season to no later than the start of the following season.
Processing of personal data of customers
Personal data of customers will be processed by CGN for the following purpose(s): - Administrative purposes; - Executing the agreement up to the delivery of products or services, including (but not exclusively) admission tickets, subscriptions to Video Vault or membership of Friends of CGN; - Including the payment thereof.
Basis for this personal data is: The agreement.
CGN may request the following personal data for the above purpose(s): - First name; - Prefix; - Surname; - Telephone number; - Email address; Bank details.
Your personal data will be stored by CGN for the above purpose.
Processing for the period: From the time of purchasing tickets/subscriptions/membership(s) and thereafter only in the financial administration for a maximum of 7 years.
Processing of personal data of contact persons of former participants
Personal data of former participants will be processed by CGN for the following purpose(s): - Administrative purposes.
Basis for this personal data is: The registration.
CGN may request the following personal data for the above purpose(s):

- Prefix;

- Email address.
Your personal data will be stored by CGN for the above purpose.
Processing for the period:
Maximum 4 years.
Processing of personal data of Friends of CGN and sponsors
Personal data of Friends and sponsors will be processed by CGN for the following purpose(s):
- Informing persons by means of news messages.
- Offering/requesting a membership fee or other contributions arising from membership of the Friends of CGN or the sponsor agreement.
Basis for this personal data is:
- The Friends of CGN registration form;
- The sponsor agreement.
CGN may request the following personal data for the above purpose(s):

- Prefix;

- Email address;
- Bank details.
Your personal data will be stored by CGN for the above purpose.
Processing for the period:
During the registration period and/or as long as a claim (for payment of a membership fee/sponsor contribution) exists and thereafter only in the financial administration for a maximum of 7 years.
Processing of personal data of a prospect, stakeholder/lobby contact and/or interested party
Personal data of a prospect, stakeholder/lobby contact and/or interested party will be processed by CGN for the following purpose(s):
- Information provision in the form of newsletters and/or targeted contacts.
Basis for this personal data is:
Verbal consent, issue of a business card and/or link on LinkedIn.
CGN may request the following personal data for the above purpose(s):
- First name;
- Prefix;
- Surname;
- Telephone number;
- Email address.
Your personal data will be stored by CGN in connection with the above processing for the period:
During the period that CGN sees you as a prospect, stakeholder/lobby contact and/or interested party.
Processing of personal data of employees and jury members
Personal data of employees will be processed by CGN for the following purpose(s):
Executing the (volunteer/jury) agreement.
Basis for this personal data is:
Registration as an employee or the jury member agreement.
CGN may request the following personal data for the above purpose(s):

- Prefix;

- Telephone number;
- Email address;

- Bank details.
Your personal data will be stored by CGN in connection with the above processing for the period:
The term of validity of the agreement and thereafter only in the financial administration for a maximum of 7 years.
Provision to third parties
We may provide the data that you give us to third parties if this is necessary for the execution of the purposes described above.
We may, for example, make use of a third party for:
- Taking care of the intranet/internet environment;
- Taking care of the (financial) administration;
- Taking care of newsletters and invitations;
- Entering and processing scores and comments for the contests.
We never pass on personal data to other parties with whom we have not entered into a processing agreement. In such agreements with these parties (processors), we will, of course, make the necessary arrangements to safeguard the security of your personal data. Furthermore, we will not provide your data to other parties unless this is required by law and permitted. One example of this is that the police may request (personal) data from us in connection with an investigation. In such a case, we must cooperate and are therefore obliged to hand over this data. We may also share personal data with third parties if you give us written permission for this.
Within the EU
We will not provide any personal data to parties that are established outside the EU.
Minors
We will only process the personal data of minors (persons younger than 16) if written permission is given for this by the parent, carer or legal representative, via the association of which the minor is a member.
Retention period
CGN will not store personal data for longer than is necessary for the purpose for which it was provided or is required by law.
Security
We have taken appropriate technical and organisational measures in order to protect your personal data against unlawful processing. For example, we have taken the following measures:
- All persons who may view your data on behalf of CGN are obliged to maintain the confidentiality thereof;
- We apply a user name and password policy on all our systems;
- We pseudonymise and ensure the encryption of personal data if there is cause to do so;
- We make backups of the personal data in order to be able to recover this in the event of physical or technical incidents;
- We regularly test and evaluate our measures;
- Our employees are informed about the importance of protecting personal data.
Rights regarding your data
You are entitled to inspect, correct or delete the personal data that we have received from you. You may also lodge an objection against the processing of your personal data (or part thereof) by us or by one of our processors. You are further entitled to allow us to transfer the data provided by you to yourself or to another party on your instructions. We may ask you to provide proof of your identity before we can honour the aforementioned requests.
Should we process your personal data on the basis of permission given by you to that end, you are always entitled to withdraw this permission.
Complaints
Should you have a complaint about the processing of your personal data, we kindly ask you to contact us directly about this. Of course, we would greatly regret being unable to resolve the situation to our mutual satisfaction. You are always entitled to submit a complaint to the Dutch Data Protection Authority. This is the regulatory authority in the field of privacy protection.
